Pipeline View

The pipeline is a kanban board where each column represents a stage of your intake process — new, contacted, qualified, consult scheduled, retained, or lost. Drag a lead from one column to the next as it progresses.

Default stages

Kenzsys ships with six stages that fit most intake processes:

  1. New — just arrived, no contact yet.
  2. Contacted — intake has reached out (call, text, or email).
  3. Qualified — meets your firm's case criteria.
  4. Consult scheduled — meeting on the calendar with an attorney.
  5. Retained — signed engagement letter; matter created in Clio.
  6. Lost — disqualified, ghosted, or chose another firm.

Owners and admins can rename, reorder, or add stages under Settings → Pipeline.

Working a lead

Click any lead card to open the detail panel. You'll see the source/campaign attribution, the call recording (for CallRail leads), notes from previous interactions, and a quick-action bar to log a call, send a text, or move the stage.

Auto-progression: When a lead's phone number matches a new Clio matter, Kenzsys automatically moves the lead to Retained and links the records. You don't have to do this manually.

Filters and views

The filter bar at the top of the pipeline lets you scope by date range, source, assigned intake rep, or practice area. Save a filter combination as a named view that the rest of your team can use.

Bulk actions

Select multiple leads with shift-click to reassign owner, change stage, or export to CSV in one go.
